OUR MEDICAL TRANSCRIPTION PROCESS
Here is how our Medical Transcription Service Works (see the process flow diagram below):

Step 1: Dictation Capture
Our medical transcription process begins with capturing the doctor's/healthcare provider's dictation using a hand held digital recorder. The mobile digital recorder allows the doctors to dictate from anywhere and at any time.
Once recorded, using the cable provided, simply plug your hand-held digital voice recorder into your PC to upload the audio files to our secure server at your convenience.
We currently do not offer “Toll-Free” phone for capturing dictation. We are planning to offer “Call-in Dictation Capability”, which will capture dictation to our server via “Toll-Free” phone service.
Step 2: Transcription
When receiving the dictation audio files, our system automatically logs it and allocates the corresponding individual Doctor template. Our experienced transcriptionists start working on the audio files.
Each voice data file is assigned a unique ID, and patient confidentiality is ensured using security safeguards implemented to meet HIPAA regulations.
Step 3: Quality Control
Every transcript completed by our transcriptionists goes through our Quality Assurance (QA) phase. Our QA staff again checks each transcription word by word against the original dictation.
Step 4: Transcription Delivery
Finally, our expert QA staff thoroughly checks every transcription file for correctness, completeness and signs-off for immediate delivery to our client. Our standard 'turn-around' time is 24 hours.
OUR QUALITY ASSURANCE PROCESS
Your transcript goes through different levels of proofreading before it is returned to you to ensure accuracy.
Our Quality Assurance process is designed to ensure quality work at every step of the process.

- Medical and surgical spell checks
- Grammar review
- Punctuation (as per AAMT guidelines)

OUR BILLING PROCESS
We follow a transparent pricing policy that is based on winning our clients trust and building business partnership. We do not require a minimum volume for determining the price.
We charge a competitive rate of 10 cents a line. The line is defined as 65 characters (including spaces), not as a visible line. This approach ensures font, font sizing, spacing and the number of pages do not matter for determining prices.
We bill our clients for our medical transcription services at the beginning of the following month. The invoice is conveniently sent out electronically via e-mail, and includes a detailed log count for each dictation transcribed by our transcriptionists in the previous month. Payment is accepted by check and wire transfers. The payments are due by the 15th of each month.
